TERMS OF BUSINESS

Where the client agrees to engage Boxhill Books for the purpose of the provision by Boxhill Books of bookkeeping services, the client agrees to the following terms:

  1. Boxhill Books provides bookkeeping services. Where accounting services are required, Boxhill Books can engage with a client's existing accountant or recommend a local accountant to provide these services.

    PRICING & COSTS

  2. The price for the work and the applicable hourly rates will be laid out in our quotation. Unless otherwise stated, the price and/or hourly rates will not include travelling expenses, postage, or sundry expenses incurred in the course of the work. There is a minimum 1-hour fee per month. Unused time does not accumulate.

  3. Boxhill Books will agree with the client the number of hours per month their bookkeeping needs require. This may fluctuate depending on the time of year and the client’s needs. 

  4. Boxhill Books reviews its standard hourly rates annually. We will notify all clients in writing of any price changes applicable to their work.

  5. In the unlikely event of any errors or omissions caused by Boxhill Books, the necessary revisions or corrections will be made free of charge. If, however, errors or omissions are made because the client has supplied incomplete or incorrect information, any necessary revisions or corrections will be charged at our standard hourly rate.

  6. Costs of Xero, third-party apps, software, licenses and accountancy fees are paid for directly by the client.

  7. A minimum 30-minutes will be billed for a site visit for any reason (including dropping off or collecting paperwork). Visits to a client/site for any reason over 15 miles from Brockham may also incur a travel charge.

  8. Boxhill Books is not currently VAT registered.

  9. Boxhill Books requires paperwork to be provided in a regular and timely manner. Where paperwork is submitted late/not in a timely manner, or where additional time is required which exceeds the typical monthly requirement, Boxhill Books reserves the right to charge it's out-of-hours rate (double the standard hourly rate) in order to meet deadlines (such as a VAT return, end-of-year accounts, or as required by the client).

  10. It is the client's responsibility to be aware of accounting deadlines (such as VAT returns and end-of-year accounts).

    PAYMENT

  11. Boxhill Books accepts payments by Direct Debit only. Advance notifications are sent to the client by email. The client is protected by the Direct Debit Guarantee for the client's peace of mind. 

  12. Boxhill Books will issue invoices monthly at the beginning of the month. Payment is due 10 days from the invoice date. Payment is debited automatically via Direct Debit on its due date.

    LIABILITY

  13. Boxhill Books shall have no liability of any sort or kind for consequential loss, loss of data, loss of business or loss of profits howsoever caused.

  14. In cases where receipts are permanently unavailable, such as when they are lost, the client assumes full responsibility for any potential negative consequences that may arise as a result.

    TERMINATION

  15. Boxhill Books has the right to refuse work, or to nullify a working contract at any time, at the owner’s discretion.

  16. The agreement between Boxhill Books and the client may be terminated by either party at any time, by giving written notice of termination to the other.

  17. In the event of termination of the agreement, for whatever reason, the client will be responsible for paying all fees due to Boxhill Books, including costs, expenses and disbursements incurred by Boxhill Books on behalf of the client up to and including any agreed handover or notice period.

  18. Subject to the above, Boxhill Books will co-operate as far as practicable to ensure that any work in progress is transferred to the client.

    GENERAL

  19. Where it is necessary to post items relating to the work to the client or a third party, Boxhill Books will use a tracked and signed for service. We recommend that the client uses a similar service when posting any items to Boxhill Books. Boxhill Books will not be held liable for loss, damage or theft of any items sent to the client whilst they are going through the postal system.

  20. Boxhill Books will inform clients in advance of any annual leave which may effect the bookkeeping services. Typically, the effect of annual leave is negated by work being carried out prior to and/or on return to the office, but the client may wish to 'cover' for certain bookkeeping functions during the period annual leave.

  21. Boxhill Books uses flexible working hours, and as such, work may be carried out at any time during the week and may vary from week to week.

  22. In accordance with the Data Protection Act, Boxhill Books will treat the client’s personal information as private and confidential.
